What Is Field Service Management Software?

Field service management (FSM) software is a digital platform for managing technician work orders, GPS tracking, service forms, spare parts and customer e-signatures — in sectors such as HVAC, appliances, medical devices, elevators and security systems. It replaces paper forms, phone coordination and Excel tracking, and works offline in the field.

Field service management software digitally manages all operations of field teams in sectors such as HVAC, appliance repair, medical device maintenance and facility management. Work order creation, technician dispatch, GPS tracking, mobile form filling, customer approval, inventory management and reporting — all in one platform.

Known globally as FSM (Field Service Management) software, this category is one of the fastest-growing B2B software segments worldwide.

From a small service company handling 10 work orders a day to a large enterprise with 500 technicians across 50 provinces — businesses of all sizes benefit. The critical value: lower operational costs while increasing customer satisfaction.

How FieldCo Works — Video

How Does Field Service Software Work?

From customer call to closed service — end-to-end digital flow in 4 steps.

1

Request

Customer submits a service request via phone, email, WhatsApp or customer portal. System auto-creates a work order.

2

Assignment

The right technician is selected by location, skills and availability. Added to calendar, SMS notification sent.

3

Field Service

Technician views the work order on mobile, fills the form, takes photos, collects customer e-signature.

4

Closure & Reporting

Service is closed, invoice sent to ERP, customer satisfaction survey delivered. Reports updated instantly.

What Is Digital Work Order Management and How Does It Work?

Digital work order management is a system that handles every service request — AC breakdown, appliance repair or machine maintenance — in a paperless, traceable and accountable way. Requests coming via phone and WhatsApp are automatically converted to work orders; each order gets a unique number and the entire process is recorded.

When a work order is created in FieldCo, the system automatically: sends the customer an SMS/WhatsApp notification, suggests an appropriate technician, adds it to the calendar and starts the SLA countdown. The technician sees the work order in the mobile app, fills in forms, adds photos and collects the customer e-signature. When service is closed, invoice information is transmitted to ERP.

Work Order Statuses

New: Request received, not yet assigned
Assigned: Technician identified, awaiting confirmation
En Route: Technician heading to customer
On Site: Technician at customer address, work in progress
Waiting for Part: Part or material needs to be sourced
Completed: Service done, customer confirmed
Invoiced: Invoice sent to ERP
Closed: Payment received, work order archived

Digital Service Report: Transition from Paper to Digital

A service report is the official form documenting the work performed by a technician on-site. Paper service reports can be lost, may be illegible, must be manually entered into ERP, and have weak evidentiary power in disputes. Digital service reports eliminate all these problems.

In FieldCo, the technician opens the mobile app, selects the work order and fills in a pre-prepared form. The description of work done, parts used, working hours, photos, video and customer e-signature are gathered on a single screen. As soon as the form is closed, the system automatically creates a PDF and sends it to the customer via WhatsApp or email.

Advantages of Digital Service Reports

  • Cannot be lost — stored in the cloud, searchable
  • Instantly sent to customer — PDF sent as soon as service ends
  • Automatically transferred to ERP — no manual data entry required
  • Legal validity — e-signature is timestamped
  • Photo and video documentation — visual evidence in disputes
  • Always readable — no handwriting problems

Warranty Tracking: Manage Device Warranties Digitally

Warranty management is a critical process for service companies. Charging for service on a device under warranty creates both legal problems and seriously damages customer satisfaction. On the other hand, providing free service for a device whose warranty has expired creates unnecessary costs.

In FieldCo, purchase date, warranty period and warranty scope are entered for each device. When a technician scans a QR code or serial number on-site, the device warranty status — under warranty, out of warranty, or failed for non-warranty reasons — appears immediately on screen. Customer approval and additional charge flow are automatically triggered for operations not covered by warranty.

Warranty Reminders

Automatic alerts 30/60/90 days before warranty expiry. Upsell opportunity for the sales team.

Parts Warranty

Separate warranty period can be defined for each replaced spare part.

Labor Warranty

Separate period and scope can be defined for work warranty.

Warranty Report

Number and cost of services closed under warranty are automatically reported.

Barcode Spare Parts and Inventory Management

One of the biggest losses in field service operations is the inefficiency in spare parts management. Stock unnecessarily waiting in a vehicle warehouse costs the company money, while going back out to the field due to a missing part is both inefficient and unhappy for the customer. Barcode spare parts management solves both problems.

In FieldCo, each part, consumable or equipment is linked to a barcode or QR code. Technicians add parts to work orders by scanning barcodes with their camera; stock is automatically reduced. Transfer movements between the central warehouse and vehicle warehouses are also tracked with barcode scanning.

Inventory Management Features

Minimum stock alert — automatic notification when below defined threshold
Vehicle warehouse tracking — stock in each technician's vehicle managed separately
Central warehouse transfer — parts withdrawal with request and approval flow
Part-based cost report — which parts used most, what was the cost?
ERP stock synchronization — stock movement auto-reconciled when service closes
Supplier tracking — which supplier was used, how much was paid

E-Invoice Integration: Automatic Flow from Service to Accounting

When a service is completed, manual data entry into ERP by the accountant is time-consuming and carries error risk. E-invoice integration automates this process end-to-end: service closes, system creates the invoice draft, sends it to ERP like Logo/SAP/Nebim, or forwards it directly to the GIB e-Invoice system.

In FieldCo, invoice content is automatically generated from work order data: labor cost, spare parts costs, consumable quantities and VAT calculations are handled by the system. An approval mechanism prevents incorrect invoices from being issued.

Turkish ERP Integration: 30+ Systems from Logo to SAP

For Turkish field service companies, ERP integration is the most critical criterion. If service software is not connected to the accounting system, data is entered twice, invoice errors increase and management dashboards don't reflect reality. FieldCo integrates with all major ERP and accounting systems used in Turkey — while most competitors are limited to 1-2 ERPs, FieldCo supports 30+.

What Do You Lose Without ERP Integration?

Duplicate data entry: Service data is manually transferred to ERP. Average 20-30 minutes lost per technician per day — hundreds of hours monthly in large teams.
Invoice errors: 3-8% error rate is normal with manual transfer. Wrong invoices mean both financial loss and customer trust damage.
Stock sync problems: The gap between vehicle inventory and central warehouse grows. Technicians go to the field with wrong parts, requiring a second visit.
Delayed payment collection: When data arrives late to ERP, invoices are issued late. Average collection time increases, cash flow deteriorates.
Unreliable management reports: Data diverges between two systems. Which number is correct? Extra work is needed to make decisions.

Improve Customer Satisfaction with Field Service Software

Field service makes contact with customers at a difficult moment — when their device breaks, when their operations halt. This moment is both a source of frustration and an opportunity to build lasting trust. Research shows satisfied customers are 70% more likely to repurchase from the same brand.

1. Appointment Confirmation & Reminders

When a work order is created, the customer receives SMS/email with appointment details. A reminder is sent the day before. When the technician sets off, an automatic "your technician is on the way" notification fires — reducing "when will they arrive?" calls to near zero.

2. Technician Information Sharing

Customers want to know who is coming to their door. A notification with the technician's name and optionally a photo measurably increases customer trust, especially for home visits.

3. Digital Service Report & Approval

Work performed, parts used and technician notes are clearly listed. The customer approves with a digital signature; a PDF is instantly sent to their email and can be re-downloaded from the customer portal at any time.

4. Real-Time Status Updates

Customers track every step in real time: work order created, technician assigned, technician en route, service completed, report ready. This transparency removes anxiety caused by uncertainty.

5. First-Time Fix Rate

The technician sees the device model, likely fault type and required parts before visiting. Vehicle stock is planned accordingly. In FieldCo, the technician sees the customer's full service history in the work order — significantly increasing first-visit resolution rates.

6. Survey Module for Feedback Loop

After service completion, an automatic short satisfaction survey is sent. It enables technician-level performance evaluation, NPS tracking, and early warning for negative feedback.

7. Digital Approval & Payment

The technician collects payment approval on-site; a payment link is sent by SMS. The customer pays by card or bank transfer instantly. This flow shortens collection time and improves cash flow.

Field Service KPIs: Measure and Manage Performance

The gap between "we're working well" as a feeling and "we're actually working well" as a fact is closed by data. Without data, you cannot know why a technician is slow or where service times are stretching. A company that cannot measure performance cannot manage it.

5 Ways to Boost Team Performance

Visibility with digital work orders: Open work orders are listed in real time. Overdue jobs trigger automatic alerts. This visibility alone delivers 20-25% efficiency gain — managers see problems in real time and can intervene.
Eliminate wasted trips with smart assignment: The nearest technician with the right skills is assigned. Jobs in the same area are grouped. Daily completed jobs per vehicle increases.
Save field time with mobile app: 45-60 minutes saved per technician per day means serious capacity gain across large teams. Paperwork, office calls, and parts queries disappear.
Report recurring faults: Getting a third call from the same customer for the same device is both costly and damaging to reputation. The reporting module flags repeat faults and enables root cause analysis.
Weekly KPI tracking: Companies that monitor these metrics weekly catch deviations early and take corrective action in time. Monthly KPI reviews look backward; weekly ones manage the future.

10 Common Mistakes in Field Service Software Selection

We compiled issues experienced by dozens of our customers over the years. Knowing these mistakes in advance makes it much easier to make the right choice.

1

Mobile app doesn't work offline — work orders lost when technicians lose connectivity in basements or factories.

2

No ERP integration — service invoices manually entered into accounting, high error rate.

3

No customer e-signature — unsigned service forms are invalid in disputes.

4

Spare parts tracked in Excel — inventory mismatch between vehicle and central warehouse.

5

No GPS tracking — nobody knows where field teams are, coordination happens by phone.

6

No warranty tracking — expired warranty devices undetected, customer satisfaction drops.

7

One-size-fits-all platform — separate views for technicians, office staff and managers not provided.

8

No or insufficient reporting — service cost and technician efficiency cannot be measured.

9

Insufficient onboarding support — software purchased but unused because the team was never trained.

10

No SLA tracking — service contract time commitments tracked manually, breaches undetected.

✓ FieldCo is designed to prevent all 10 of these mistakes.

Field Service Software Glossary

Explanations of key concepts you'll encounter when evaluating field service software:

Work Order
A digital document containing a service request, assigned technician, scheduled date, parts used and customer approval — the core record of field service software.
Service Report
A formal document completed by the technician on-site, containing work performed, materials used and customer signature. Generated as PDF in digital systems and instantly sent to the customer.
SLA (Service Level Agreement)
Response and resolution time commitments agreed with the customer in the service contract. For example "4-hour on-site response" or "24-hour closure".
Dispatching
The process of assigning incoming service requests to the right technician. Smart dispatching offers automatic suggestions based on location, skills and availability.
PPM (Planned Preventive Maintenance)
Maintenance operations performed at defined intervals before breakdowns occur. Field service software auto-generates PPM work orders and assigns them to technicians.
MTTR (Mean Time to Repair)
Average time from service request until the equipment is operational again. Field service software calculates this metric automatically.
First-Time Fix Rate
Percentage of service requests resolved in a single visit. High FTFR indicates low service cost and high customer satisfaction.
Field Service
Service performed by a technician visiting the customer's location. Unlike workshop service, the customer does not bring the device — the technician goes to them.
FSM (Field Service Management)
The international acronym for field service management software. Equivalent to work order management, service tracking software and field operations management.
Payment Claim
A payment document that sub-contractor service companies prepare to collect from the main company for work performed. Auto-generated within the FieldCo system.
